ClinFolio — Doctor Registration Terms & Conditions

1. ELIGIBILITY & DECLARATION

By registering as a Doctor on ClinFolio, you hereby declare and warrant that:

• You hold a valid, government-approved medical degree from a recognised university or institution.
• You possess a current and valid Medical Registration Number / License Number issued by the appropriate regulatory body in your country of practice (e.g., GMC, NMC, MCI, AHPRA, USMLE, or equivalent).
• You are currently authorised to practice medicine in your declared jurisdiction.
• All information provided during registration — including your name, medical registration number, working hospital or college, and specialty — is true, accurate, and complete.

2. VERIFICATION & RIGHT TO AUDIT

ClinFolio reserves the right to verify your medical credentials with relevant regulatory bodies at any time. You consent to ClinFolio contacting your declared hospital, institution, or medical council to confirm your registration status.

Failure to respond to verification requests within 14 days may result in temporary suspension of your account pending further review.

3. CONSEQUENCES OF FALSE INFORMATION

WARNING: Providing false, misleading, or fraudulent information regarding your medical qualifications, registration status, or identity constitutes a serious offence.

If any information is found to be false or misleading:

• Your ClinFolio account will be immediately and permanently terminated.
• All data and content associated with your account may be preserved as evidence.
• ClinFolio's legal team reserves full authority to initiate and pursue severe legal action against you under the applicable laws and jurisdiction of your country of practice.
• ClinFolio may report the matter to the relevant medical regulatory authority, law enforcement agencies, and any affected healthcare institutions.
• You shall be held personally liable for any damages, losses, or harm arising from the fraudulent misrepresentation.

4. DATA ACCURACY & UPDATES

You are responsible for keeping your registration details up to date. If your medical registration status changes (e.g., suspension, expiry, change of specialty, change of institution), you must update your ClinFolio profile within 30 days.

5. PATIENT DATA & DE-IDENTIFICATION

When using ClinFolio to log clinical encounters, you must ensure all patient data is fully de-identified in accordance with applicable data protection laws (GDPR, HIPAA, or equivalent). ClinFolio is not responsible for any patient data breaches resulting from your failure to de-identify records.

6. ROLE ASSIGNMENT

All users self-register as Doctors. Additional roles (Supervisor, Head of Department, Admin) are assigned by ClinFolio administrators or hospital management and cannot be self-selected during registration.

7. GOVERNING LAW & JURISDICTION

These terms shall be governed by and construed in accordance with the laws of the jurisdiction in which you practice medicine. Any disputes arising from your use of ClinFolio shall be subject to the exclusive jurisdiction of the courts in your registered country of practice.

ClinFolio reserves the right to pursue legal remedies in any jurisdiction where a violation has occurred or where the user resides.

8. ACCEPTANCE

By ticking the consent checkbox below and completing your registration, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions in their entirety.
